To turn a LiDAR scan into a client-ready 3D property report, review the capture, organise and label the rooms, add only decision-relevant observations and evidence, verify important measurements, test the recipient view and share a limited read-only link. The scan is the raw spatial baseline; editorial and professional review make it a useful deliverable.

Define “client-ready” first

A client-ready deliverable should be:

  • Understandable: a person who was not on site can navigate it
  • Relevant: it contains the evidence needed for the stated purpose
  • Controlled: access is limited and revocable
  • Accurate in scope: observations and limitations are clear
  • Professional: names, images, status and links have been reviewed
  • Actionable: the next decision is easy to identify

Visual polish matters, but clarity matters more. A beautiful model with generic room names and unexplained pins is not ready.

1. Capture for the deliverable

Plan rooms from the client scope. A survey companion may require full coverage; a contractor brief may require only affected areas and access routes. Record exclusions rather than letting absence look accidental.

Apple’s RoomPlan uses a compatible iPhone or iPad camera and LiDAR Scanner to create structured room data, including recognised components and dimensions. Move steadily, reveal openings and check the live result before finishing.

In Respaced, capture can remain local while offline or signed out. Review the survey, save locally and deliberately queue it for sync after signing in. Do not use poor connectivity as a reason to skip on-site quality control.

2. Review geometry before uploading or publishing

Check:

  • All required rooms are present
  • Walls and openings are represented coherently
  • Door and window positions are plausible
  • Room boundaries have not been confused by mirrors or occlusion
  • Multi-room relationships are understandable
  • Inaccessible areas are noted
  • Critical dimensions have separate verification

If a room is materially incomplete, rescan while access is still available. Small corrections can be handled later, but a missing area should not be concealed by annotations.

3. Organise the property workspace

After sync, turn raw scan names into a stable structure.

Group rooms by floor, outbuilding or survey area. Check their arrangement. Use focused model editing to improve clarity, not to create an idealised building that no longer reflects the capture.

Stable room identity is important. Rename or reposition an existing room rather than replacing it solely for presentation, so its observations and visibility settings remain attached.

4. Create a clear finding hierarchy

Do not turn every comment into a top-level issue. Use categories consistently:

  • Observation: factual condition or feature
  • Issue: matter requiring attention
  • Measurement: labelled working dimension
  • Repair: instructed or completed work
  • Quote: commercial proposal linked to a matter
  • Proposal: design or operational suggestion
  • Photo or document: supporting evidence
  • Note: useful context that is not another category

Each finding should answer where, what, evidence, significance and next action. Separate observed fact from unconfirmed cause.

For example:

Damp staining below rear window
Rear bedroom, north wall. Brown staining and local paint failure below the left side of the sill. Cause not confirmed. Inspect the external seal and masonry before internal decoration.

5. Curate photographs and documents

Select photographs rather than uploading the entire camera roll. A useful set normally includes context, mid-range and detail views. Check orientation, focus and accidental personal content.

Attach each photograph to the relevant spatial record. This allows the client to see where it belongs without decoding filenames.

For PDFs, include only the certificate, quotation, report, warranty, invoice or instruction that supports the deliverable. Review recipient suitability. A document containing personal or commercial information may belong in the internal workspace but not in the public share category.

6. Label and verify measurements

A 3D viewer makes measurement convenient, which can tempt users to treat every displayed dimension as authoritative. Use a declared policy:

  • Informational dimensions can support orientation
  • Planning dimensions should be checked when they could change scope or cost
  • Fabrication, structural, safety and certified dimensions require an appropriate independent method

Label the measured points and purpose. “Radiator recess width, laser-checked” is more useful than “1.82 m”. If a dimension is approximate or taken from the model only, say so.

7. Write the client opening

The recipient should not have to infer the purpose. Put a concise summary in the accompanying communication or primary property note:

  1. What the record covers
  2. Capture or inspection date
  3. What the client should review
  4. Important exclusions
  5. Measurement and professional limitations
  6. How to respond or request clarification

Example:

This interactive record covers the ground and first-floor rooms inspected on 5 August 2026. Open the highlighted observations to see location, photographs and recommended next steps. Roof spaces and external elevations were outside this capture. Working dimensions are provided for context and should be independently verified for construction or fabrication.

8. Choose the right access route

Use an internal workspace role when the recipient genuinely needs to collaborate. Use a public link when the client needs a read-only deliverable.

Respaced public links can be configured with:

  • Selected scans
  • Selected point-of-interest categories
  • Optional passcode protection
  • Expiry
  • Model download permission

Passcode-protect sensitive content. Treat an unprotected link as a bearer credential. Disable downloads unless the client needs source model files and is authorised to receive them.

Do not send a client the editing workspace merely because it is quicker. The external view should reflect their task and remove unnecessary controls.

9. Test the actual recipient experience

Open the link in a signed-out browser and on a smaller screen. Test:

  • Initial load and orientation
  • Room navigation
  • Finding titles and photographs
  • Table or document links
  • Passcode entry
  • Excluded scans and categories
  • Download visibility
  • Expiry and revocation

Ask somebody unfamiliar with the property to locate two findings. If you must coach them, improve labels or the opening summary.

This is the step that separates a technically valid share from a client-ready report.

10. Include professional boundaries

Use scope language appropriate to the service. Respaced itself is a visual property record and does not replace a certified measured survey, structural assessment or professional report where required.

Do not make the model imply that hidden construction was inspected. Do not convert a visible symptom into a confirmed diagnosis without evidence. Do not imply approval, compliance or completion simply because a document or photograph is attached.

For design and renovation, verify dimensions independently where fabrication, safety or construction depends on them. For inspections, retain the formal report and required records in the proper system.

Client-ready checklist

  • Property address and workspace owner are correct
  • Capture date, scope and exclusions are stated
  • Rooms are named and grouped clearly
  • Required geometry has been reviewed
  • Findings use precise titles and locations
  • Observations and interpretations are distinguished
  • Photographs show context and detail
  • Documents are current and appropriate
  • Measurements state purpose and verification
  • Client summary and next action are concise
  • Shared scans and categories are minimal and sufficient
  • Passcode, expiry and downloads are intentional
  • Signed-out desktop and mobile views have been tested
  • Professional limitations are visible

What not to do

Avoid these common shortcuts:

  • Publishing immediately after capture
  • Leaving generic room and issue names
  • Uploading every photograph
  • Hiding incomplete geometry with a crop
  • Sharing internal comments unintentionally
  • Presenting model measurements as certified facts
  • Leaving links active indefinitely
  • Calling the result a formal survey when it is not one
