How to Choose Property Documentation Software for a Professional Team

A practical B2B framework for choosing property documentation software across capture, accuracy, evidence, access, delivery and total cost for your team.

Choose property documentation software by defining the decision it must support after the site visit. Then test capture, correction, evidence, access, delivery and handover on a real property. A long feature list is less useful than proving that somebody who was not on site can understand the record, locate the important item and take the next action safely.

This guide is for survey practices, estate agencies, property managers, contractors, architects, designers, advocates, conveyancers and multi-disciplinary property organisations.

1. Define the primary deliverable

Start with one outcome. Common categories include:

  • A photorealistic marketing tour
  • A 2D floor plan
  • A structured inspection report
  • An estimate or material schedule
  • A point cloud or CAD/BIM model
  • A navigable property evidence record
  • A maintenance handover

4. Evaluate the complete capture day

Test more than the scan button. A field workflow should answer:

  • Can the user plan which rooms are required?
  • Does capture guidance expose missed areas?
  • Can work continue without reliable connectivity?
  • Is local work retained after sign-out?
  • Can the user review before uploading?
  • What happens after an interrupted upload?
  • Can the property be identified consistently?

5. Inspect correction and organisation

No capture is the finished professional record. Assess how the product handles:

  • Missing or incorrect openings
  • Room alignment and arrangement
  • Measurement labels
  • Surface or object naming
  • Model clean-up
  • Repeated visits and later updates

Avoid systems that make correction so difficult that staff accept an ambiguous output. Also avoid over-editing: a property record should preserve the observed context and make material changes understandable.

  • The record is still understandable after a handover exercise

Record screen captures, elapsed work, support interventions and failures. Do not award points for features that nobody used.

12. Make the decision reversible

Document the chosen system, reasons, limitations and exit path. Keep original capture and professional source documents according to policy. Decide how records will be exported or preserved if the service changes. Review the decision after the pilot and again after a representative volume of work.

The first procurement does not need to solve every property workflow. A focused system with a clear boundary is often easier to govern than a platform selected for hypothetical future features.
